Get started with SubCover HQ
Welcome aboard. To start collecting certificates we need three things from you: who your subs and vendors are, what insurance you require from them, and how your name should appear on their certificates. Send it all in one email and we take it from there.
Step 1: Fill in the vendor roster
Download the roster template (CSV) ↓
Open it in Excel or Google Sheets and add one row per sub, vendor, or commercial tenant. Only the name and one email are required; the rest helps us move faster.

Already have a list in another format, like a spreadsheet, a QuickBooks vendor export, or even a photo of a whiteboard? Send that instead. We'll tidy it up.
Step 2: Send your insurance requirements
Attach the insurance section of your subcontract, vendor agreement, or lease. If you don't have one in writing, build a starting point with the free insurance requirements generator and review it with your broker. Different rules for different trades are fine; see COI requirements by trade for typical setups.
Step 3: Tell us your certificate wording
- The certificate holder name and mailing address, exactly as it should print.
- Anyone else who must be named as additional insured, such as an owner entity, association, or lender.
- Who should get the weekly compliance report on Mondays.

What happens next
- Within one business day we confirm we have what we need, or ask about anything unclear.
- We request certificates from every sub or vendor on your list and their agents, using your exact wording. Nobody needs to log in to anything.
- We review each certificate against your requirements and flag gaps in plain English.
- We track and chase every expiration from then on, and you get a report every Monday.
Got existing certificates on file? Forward them too, and we'll check and track those instead of starting over.
